Below are some of the Frequently Asked Questions about Face to Face. If you have any questions after reading through the below, please email jclarke@nycaieroundtable.org.

I am trying to register my organizatin but even though we're members, our name isn't coming up on Eventbrite.

The Eventbrite portal is not connected to your Roundtable membership info. You need to Create an Organization. Once you've done that, you can revisit and register more attendees at any time. Click on Create an Organization. Type the name. Enter the name in  the "organization" box. You're good to go.

How do I get to the conference venue?

Shepard Hall is located at 160 Convent Avenue, near 138th Street and Convent Avenue. The closest subways are the 1, A,C,D trains. The M101 bus stops very close to the conference location on Amsterdam Avenue. Click here for full directions and accommodation suggestions. Note - if you are going via the A or C trains, go to 145th street and not 125th Street unless you are planning to take a bus.


I’m currently a member of the Roundtable. Do I need to pay to attend the Face to Face conference?

Yes. All members are required to register and pay to attend Face to Face. A Full Organizational (Tiers 1-5) member of the Roundtable is eligible to receive one (1) half price conference admission of $65 for their contact person (formerly designated rep) which covers both days of the conference. Please note that Contact Person replaces the position formerly known as the Designated Representative.

What is pre-registration? Is it necessary if I want to attend the conference?

Face to Face 2016 early bird registration opens in mid-February. Regular registration opens in mid-March. Pre-registration is strongly advised - rates increase significantly for walk-up registration.

I’m only able to attend one day of the conference. Am I eligible for a reduced rate or can someone else come in my place on the day I can’t attend?

No. There are no shared registrations or single-day rates available. This applies to members of pre-registered groups as well. An attendee who was not initially pre-registered as part of a group may not substitute into a group after the pre-registration deadline or at the conference.

How do I know if my pre-registration form has been received and processed?

You will receive an email confirmation immediately after registering for the conference.

The deadline for pre-registration has passed. Am I still able to attend the conference?

Yes. There is a dedicated table at check-in for those who have not registered. You may pay with a credit card or a check made out to the NYC Arts in Education Roundtable. We will not accept cash.

When I get to the conference, do I have to attend the sessions for which I pre-registered?

No. While pre-registration is used as an important guide for the conference organizers regarding room assignments you are not required to attend the session for which you pre-registred.

I’m at the conference, but I can’t remember which sessions I pre-registered for. Where do I go?

See above.

When and where is registration at the conference?

The registration tables are located just inside the entrance to Shepard Hall. You must check-in upon arrival on both days of the conference before you head to the Great Hall or a breakout session. If you have not pre-registered for the conference you may do so upon arrival.

I'm a vegetarian/gluten-free/and/or I'm observing Passover.  Will there be appropriate food?

Yes, we will have a selection of vegetarian, gluten-free, and Passover friendly foods; however, if you have specific dietary restrictions you should consider bringing your own lunch.

Will there be a place to charge my phone?

Yes, we will have a designated charging station in the breakout rooms.
